The Access Pennsylvania Database Support Center is pleased to announce that several new features have been added to the VDX ILL system.

Complete Button l Location Button l Reports Button l Support

Complete Button

The complete button has been enabled for use by requesters. By clicking on the complete button, requesters now have the ability to remove items from results lists with the status of cancelled, returned, idle or not supplied.

Keep in mind that items with a returned status should be kept on a requester's results list for several weeks to allow time for items to be returned and checked in by responders. Once returned items are checked in by responders, the items will automatically disappear from the requester's results list.

Responders do NOT need the complete button. Performing the Cancel Reply-Yes action to a cancel request automatically removes items from a responder's results list as does performing the checked in action when items are returned.

Location Button

When using the location feature of the VDX ILL system to find information on participating libraries, the display now includes the library's area code and telephone number. Although area codes do not currently display with fax numbers, it is safe to assume, that in most cases, the same area code applies. Area codes will display with fax numbers in the next software release.

Reports Button

To run Daily and/or Monthly ILL statistics reports for your library, you must log into the VDX ILL system and click on the reports button located along the left-hand side of the VDX ILL system interface. Next, click on the appropriate report (Daily ILL Statistics or Monthly ILL Statistics), scroll down the page and click submit.

VDX adds up each day's statistics shortly after midnight for the previous day. Counts are displayed for the user logged in and producing the report. The Daily ILL Statistics report displays each day of the current month only. The Monthly ILL Statistics report lists statistics from December, 2001 to the current month.

An explanation of the reports follows:

1.   Date: The day covered by the statistical line.
 
2 Searches: Not applicable to the Access Pennsylvania Database Project.

REQUESTER

1.   Requests: This counts Requests created by this location. Unauthorized Requests are included in this count.
 
2 Shipped Ind.: This counts Requests where the responder has notified the requester that the item has been shipped.
 
3. 

Received: This counts Requests that this location processed as Received.

RESPONDER

1.   Requests: This counts Requests sent to this location as a responder. It includes new requests and requests moving to the next location in its Rota. Requests move to the next location in its Rota for Actions: Not Supplied, Expired, Conditional-No, Cancel-Yes.
 
2 Shipped: This counts Requests this location processed as Shipped regardless of the Service Type, such as loan and copy non-returnable.
 
3. 

Not Supplied: This counts Requests this location directly processed as Not Supplied. It does not include the Requests set to this status automatically because they were allowed to expire. (See #9)

4. 

Expired: This counts Requests this Responder location allowed to expired by not processing them within the number of days allowed by VDX.

NOTE: A request that has gone to multiple locations only counts as 1 request on the requester side, so 1 request on the requester side could map onto 4 responder request records, if the request was now on the 4th location in the rota.
