When sending an email message to the Access Pennsylvania Database Support Center, please remember to state the name and/or 5-character username of your library. Before we can help troubleshoot your problem, it is necessary for us to have this information.

After conducting a regional search or a search on the holdings of an individual library, the initial bibliographic record(s) provide a link to the list of libraries in the region searched that have their holding attached to the record(s). To then view a complete list of libraries that have their holding attached to the bibliographic record(s), you may click on the All Locations button located near the bottom of the record(s).

When placing an ILL request, the Access Pennsylvania Database provides VDX with a list of ALL libraries that have their holding attached to the bibliographic record, and against which the request was placed. You may view this complete list (as described above) at the time you place the request. VDX then performs its "magic," sorting the libraries and building a Rota designed for your library.

Updated Version of the VDX Software

The Access Pennsylvania Database Support Center plans to introduce an updated version of the VDX software by the end of January. This will occur in conjunction with a server hardware upgrade. We will be highlighting some of the new features over the next several weeks, and a new version of the online ILL Manual will be released at the same time.

Procedures for Handling Requests in the Status of Cancel Pending (Responders Only)

 Requests that are in the status of Cancel pending indicate that the items are no longer needed by requesters and therefore, you do not need to ship them. To remove these requests from your responder results list, please follow these steps:

  1. Log into VDX. 
  2. To search for items in the status of Cancel pending, set the Status box along the right-hand side of the Request Search screen to Cancel pending and click the submit button. 
  3. Click on the action button for each request in the status of Cancel pending and select Cancel Reply-Yes. 
  4. On the Action: Cancel Reply-Yes page, scroll down and click the submit button. (If more than one request is in the status of Cancel Pending, you may use the bulk action feature to perform the Cancel Reply-Yes action.) 

Once you are finished, you may log out of the VDX ILL system. The next time you log in, these requests will be gone from your results list as there is nothing more that needs to be done with them.

That's it for this week. Access PA News is sent out every Friday to several lists. Since variants of your email address may be subscribed to multiple source lists, there is a chance that you may receive more than one copy of this notice. Although we consolidate the source lists in an attempt to eliminate duplication, the process can not distinguish address variants. We regret this, but ask that you just delete the duplicates.
